You should arrange for transportation for these people or have the party close to a lodge or hotel where these people can spend the night comfortably and leave the following day.

The next thing to consider is budget. It is impossible to get a site that you cannot afford. However, the budget should not be the only thing to factor in. The facilities and amenities are often what determines the cost of a venue. Ask for a quote and check not only the price but other things like the payment scheme. After renting there will be additional costs too which you must consider. The venue might be expensive, but payment options can make it affordable.

Additionally, consider the weather. Daily conditions of the atmosphere can change anytime despite the season. However, if it is on a rainy season, take precautionary measures by having umbrellas for the occasion. For outdoor events, when it is sunny or raining, tents must be availed to make guests comfortable.

Another tip is requesting for pictures of previous occasions that have been hosted in the venue. If the area is well-managed, they will have a gallery of images to prove they are good and their site is the best. Going through the photos might give you an idea.
